Adding New Parts to Quipli

Add a part in Quipli — set part number, stock by location, pricing, delivery, tax, and GL accounts — and keep it internal or publish it to your storefront.

This article walks you through adding a new part in Quipli — from entering basic information to configuring stock, pricing, delivery options, taxes, and accounting. Parts can be kept internal for staff use or published directly to your customer-facing e-commerce storefront.

ℹ️ Key Rule: Part numbers must be unique across your inventory. Quipli will not allow you to save a part with a duplicate part number.

Step 1 — Navigate to Parts

Go to Inventory → Parts from the main navigation. You'll see a list of all existing parts across your locations.

Step 2 — Create a New Part

Click the yellow Add Part button in the top-right corner of the Parts list page. Fill in the following fields:

  1. Part Name: A clear, recognizable name for the part.

  2. Part Number: A unique identifier. No duplicate part numbers are allowed.

  3. Category: Optional, but strongly recommended if the part will appear on your storefront — it helps customers browse and filter.

📌 Storefront Visibility: The Visible on storefront toggle defaults to OFF (internal use only). Toggle it ON to publish the part to your e-commerce storefront. A category must be assigned for the part to display correctly when visible.

Step 3 — Set Location Availability and Stock

Location Availability

Use the location availability toggles to enable or disable the part at each of your business locations. Only enabled locations will show the part as available.

Updating Stock Quantities

For each location where the part is available:

  1. Click the pencil icon under the Actions column next to the location.

  2. Enter the current stock quantity.

  3. Click the checkmark to save.

Purchase Price

Enter the purchase price (your cost basis). This is used for purchase order tracking and expense accounting.

Step 4 — Set Pricing

Add a sale price for each location where the part is available. Quipli supports different pricing at different locations, so you can reflect regional or market-specific rates.

ℹ️ Auto-Save: Quipli saves all changes automatically. There is no Save button — you can navigate away at any time and return to edit the part later.

Step 5 — Configure Delivery and Pickup Options

Both pickup and delivery default to ON. Adjust as needed for this specific part:

Step 6 — Configure Tax and Accounting Settings

Taxes are applied by default. Select the appropriate tax category for this part. See the Tax Category help article for guidance on which category to use.

GL Account Mapping

Map this part to your general ledger accounts:

  • Income Account: The revenue account credited when this part is sold.

  • Expense Account: The expense account used when purchasing this part via a purchase order.

📌 QuickBooks Online: If your Quipli account is connected to QBO, GL account mapping will sync automatically. Make sure the selected accounts match your QBO chart of accounts.

Bulk Import

If you need to add many parts at once, use the Import button in the top-right corner of the Parts list page (visible to users with the appropriate permissions). The import tool includes a downloadable spreadsheet template and supports both adding new parts and updating stock quantities at specific locations.

Common Questions

Can I add a bin or storage location to a part?
Yes. Parts have a Bin Location field (up to 50 characters, editable per location) that appears in the Part Inventory section of the Part Setup page. It also displays on Work Orders, Purchase Orders, and Service Ticket PDFs under the Part #. Note: bin location is not currently searchable from the general Parts list search.

Can I create a new part while building a regular customer order?
Not yet. Quick part creation is currently only available from the Work Order screen (a Create button next to Add in the Parts & Services section). Adding parts and services directly within normal orders is a separate, planned enhancement and isn't available today. If a customer asks for this, log it as a feature request.

If I change a part's Income or Expense GL account after it's already synced to QuickBooks, will past invoices update?
When you remap a part's GL account in Quipli, you'll be prompted to reassign historical data. Choosing yes updates all past line items in Quipli. On the QuickBooks side, each product can only have one income account at a time, so the next time an invoice containing that part syncs to QBO, it will retroactively move all previously synced invoices with that part to the new account, unless the customer has closed their accounting period in QBO. Re-syncing a single invoice is often enough to trigger this rather than needing a full bulk sync.

Is there a report showing which parts don't have a GL account mapped yet?
Not currently. There's no built-in report listing all parts alongside their GL mappings. If a customer needs this reviewed, it typically has to be checked part by part in the Parts setup screens.

Can I bulk update storefront visibility for a large number of parts at once?
You can bulk select parts and toggle visibility, but there's a known issue where bulk hide/show actions can fail on very large selections, around 5,000+ items. If a customer has a large parts catalog and needs to hide or show everything at once, it may need to be done in smaller batches or escalated to support.

Is the Apply Taxes setting really on by default?
Yes, taxes are applied by default when a part is created. This can be manually turned off per part if it's tax exempt, so if a part isn't being taxed as expected, check that the toggle wasn't unchecked.
