Credit Memos in Quipli
A credit memo is how Quipli handles issuing a credit to a customer without editing the original invoice. They're especially useful when an invoice is locked, or when you simply want to keep the original invoice intact and issue the adjustment separately.
Enabling Credit Memos
Credit memos must first be enabled in your Quipli settings. To turn the feature on:
Navigate to Settings > General Settings > Options
Search for or scroll to the Credit Memos field
Select Yes
Click Save Changes at the bottom of the page
Creating a Credit Memo
Once enabled, a Credit Memos section will appear in your left navigation menu with two options:
Create Credit Memo — opens the creation screen
Credit Memos — view and manage all existing credit memos
To create a credit memo:
Navigate to Credit Memos > Create Credit Memo
Select the Rental Location
Search for and select the Customer on the right side of the screen
Add at least one product using the Add products to order panel — you can search across For Rent, For Sale, Parts, Services, or Custom product types
Fill in any relevant details (quantity, rental dates, delivery, notes)
Click Create credit memo in the top right to finalize
Credit memo numbers follow the same sequence as order numbers, with a suffix (e.g., -001). Credit memos do not generate security deposits.
Viewing Credit Memos on a Customer Profile
Credit memos can also be found at the customer level. Navigate to the customer's profile and open the Collectibles tab. Any credits associated with that customer will appear in the Credits section, showing the credit memo number, date, status, and amount.
How Credits Are Applied
Once a credit memo is created, it generates a statement credit on the customer's account that can be applied to future invoices. Partial applications are supported — any unapplied portion remains as a credit until used. If a refund is needed, one can be issued when the applicable criteria are met.
QuickBooks Online Sync
Credit memos sync to QBO automatically after creation, after any updates, or when a credit is applied to an invoice.
Recommended QBO setting: Turn off Automatically Apply Credits in your QBO settings. This gives Quipli control over how credits are applied and prevents sync conflicts.
Things to Be Aware Of
Credit memos don't require a PO number, even if the customer account has PO requirements enabled.
Credit memos will not appear on dispatch views — this is expected behavior.
Voiding or canceling a credit memo will reverse the original accounting entries.
