Under QBO Summary Level Sync, individual payments don't exist as separate records in QuickBooks — your Cash activity posts as one daily total to a Clearing account instead. That means when a Stripe payout hits your bank account, you'll record it in QuickBooks as a deposit pulled out of Clearing rather than matching individual payments. This article walks through that process.
ℹ️ Before you start: Confirm your Cash account in Quipli (Accounting → General Ledger) is mapped to a dedicated Clearing account in QuickBooks — an Asset-type account, usually named something like "Quipli Payments Clearing" or "Payments Clearing" — not QuickBooks' built-in Undeposited Funds account. Undeposited Funds is built for individual, selectable payment records, which don't exist under Summary Level Sync.
Step 1 — Find the Payout Amount in Quipli
Go to Accounting → Payout Reconciliation in Quipli. This page lists all of your Stripe payouts.
Find the payout that just hit your bank account, and calculate:
Total payments − refunds = the amount to pull out of Clearing
For example: $78.59 in payments, $0 in refunds → $78.59.
Also note the Stripe fee total for that same payout from the report — you'll need it in Step 3. In this example, that's $2.03.
Step 2 — Start a Bank Deposit in QuickBooks
In QuickBooks, click + Create → Bank Deposit.
At the top, select the actual bank account the Stripe payout deposits into — this is the account the deposit is going to.
Skip the section listing existing individual payments — that only applies if individual payments exist in QuickBooks, which they won't under Summary Level Sync.
Step 3 — Add Funds to the Deposit
In the Add funds to this deposit section, add two lines:
Line 1 — pull the payout out of Clearing:
Account: your Clearing account (e.g., "Quipli Payments Clearing")
Amount: the payments-minus-refunds total from Step 1 (e.g., $78.59)
Line 2 — account for Stripe's fee:
Account: your Stripe Fees expense account
Amount: the fee total from Step 1, entered as a negative number (e.g., -$2.03)
Step 4 — Confirm the Net Total Matches Your Bank
Once both lines are entered, the deposit's net total should match what actually hit your bank account.
Line | Account | Amount |
Payments pulled from Clearing | Quipli Payments Clearing | $78.59 |
Stripe fee | Stripe Fees (Expense) | −$2.03 |
Net deposit total | $76.56 |
If it matches, click Save and close.
What This Actually Does
Moves the full payout amount ($78.59) out of your Clearing asset account.
Books $2.03 of that to your Stripe Fees expense account.
Records the remaining $76.56 as a deposit into your actual bank account in QuickBooks.
Step 5 — Match Against Your Bank Feed
If your bank account is connected to QuickBooks' bank feed, you'll now be able to match this deposit against the actual incoming transaction from your bank — confirming the reconciliation is complete.
Need Help?
Contact Quipli support ([email protected]) if you:
Aren't sure which account your Stripe payouts deposit into.
Find that your deposit total still doesn't match your bank after accounting for fees.
See individual payments appearing in QuickBooks instead of a lump Clearing balance — this usually means Cash is mapped incorrectly.
Need help setting up a dedicated Clearing account or Stripe Fees expense account.
