How to Pull Your Sales Tax Numbers

How to pull sales tax totals from the Chart of Accounts or the Revenue Report, including how to filter and sum taxable, nontaxable, tax, and HET line items.

Quipli gives you two ways to pull your sales tax numbers, depending on how much detail you need: the Chart of Accounts for fast jurisdiction totals, or the Revenue Report for full line-item detail, including a taxable/nontaxable/tax breakdown.

ℹ️ Before you start: Both methods let you filter by Cash or Accrual basis. Use whichever basis matches how your business files its taxes.

Step 1 — Pull Jurisdiction Totals from the Chart of Accounts

Use this when you just need totals by tax jurisdiction — it's the fastest option.

  1. Go to Accounting → Chart of Accounts.

  2. Filter for the time period you need (for example, August 2026).

  3. Set Account Type to Tax.

  4. Set Tax Reporting Basis to Cash or Accrual.

This shows every tax jurisdiction in your account, including account name and number, location (if you operate in more than one), taxable revenue, and total tax collected.

Click any account name to open the itemized line-item breakdown behind that jurisdiction's totals.

Exporting your results:

  • Just need totals? Export the filtered screen directly — you'll get taxable revenue and total tax per jurisdiction (and per location). Sum these for your overall totals.

  • Need line-item detail? Click into each account individually and export from that itemized view.

Step 2 — Pull Line-Item Detail from the Revenue Report

Use this when you need to see every individual line item behind your taxable, nontaxable, and tax totals.

  1. Open the Revenue Report.

  2. Set the Basis filter to Accrual or Cash.

  3. Set the Date Range filter — use the Previous quick-select for last month, or click the back arrow next to Previous/Current/Next for a fixed date range further back.

  4. Scroll to the Revenue Report Line Items section at the bottom.

  5. Click the ⋯ menu in the top-right corner of that section and download the results.

Every row in the export is tagged with two columns: Is Tax Line Item and Is Taxable Line Item. Filtering on these tells you which bucket each line item falls into, and each row also shows the account and jurisdiction it belongs to.

Filtering for each bucket: Reset all filters before starting each new bucket below — don't stack filters from a previous bucket.

Bucket

Is Taxable Line Item

Is Tax Line Item

Notes

Taxable line items

TRUE

— (no filter)

Single filter is all you need.

Nontaxable line items

FALSE

FALSE

Both filters are required — otherwise tax line items get mixed into the nontaxable total.

Tax line items

— (no filter)

TRUE

📌 Example: A Heavy Equipment Tax row has Is Tax Line Item = TRUE and Is Taxable Line Item = FALSE. That row correctly falls into the Tax Line Items bucket and is correctly excluded from Nontaxable — this is exactly the case the double filter on Nontaxable protects against.

Summing each bucket correctly:

ℹ️ Important: Excel's SUM will still total hidden/filtered-out rows if you sum the original column range directly — filtering alone doesn't prevent this. After applying each bucket's filter, copy the visible filtered rows (values only) into a new tab, then sum the Amount column there. Do this separately for each bucket.

Optional: separating out HET (Heavy Equipment Tax):

  1. Reset filters, then filter Account Name = Heavy Equipment Tax.

  2. Sum the Amount column for that filtered set, using the same copy-to-new-tab method above.

ℹ️ Important: When you also sum the regular Tax Line Items bucket, exclude the HET rows from that total — otherwise HET gets counted twice.

Quick reference:

  • Taxable → Is Taxable Line Item = TRUE

  • Nontaxable → Is Taxable Line Item = FALSE and Is Tax Line Item = FALSE

  • Tax → Is Tax Line Item = TRUE

  • HET (optional, separate) → Account Name = Heavy Equipment Tax; subtract these rows from the Tax total if tracking HET separately

  • Always copy filtered results to a new tab before summing, to avoid hidden-row totals

This export contains the same data as the previous three-tab Revenue Report (Tax Line Items, Taxable Line Items, and Non-Taxable Line Items) — it's just consolidated onto a single tab now, using these two columns to segment the data instead of switching tabs.
