How to Use the Inventory Calendar
This article walks through how to use the inventory calendar to see product and unit availability, and how to jump directly to an order from a specific unit.
Getting to the Inventory Calendar
Navigate to Inventory, then Inventory Calendar.
Selecting a Location
Select a specific location, or leave it defaulted to All Locations if you are a multi-location business.
Choosing a View
Select between Day, Week, or Month view.
Within any of these views, you can navigate back and forth to look at different days, weeks, or months.
Viewing Categories, Products, and Units
On the left hand side, you will see all of your product categories, for example Personal Settings, Testing, Order, and Earth Moving.
Categories can be collapsed for easier viewing, or expanded to show the products within them.
Underneath each product, you will see the specific units for that product.
On the right hand side, you will see the dates and colored bars indicating availability.
Understanding the Color Coding
A lighter color means more products are available.
A slightly darker color means some products are available, but not all.
The darkest color means no products are available.
Checking a Specific Unit's Order
Within a specific product, you can go to a specific unit to see the order it is currently on rent for.
Click on the order number to go directly to that order.
Summary
Anytime you need to know what product is on rent and when, or which specific units are on rent, go to the Inventory Calendar, select Day, Week, or Month, toggle to the date you want to look at, find the category, find the product, and then find the specific unit to see its availability.
Common Questions
How do I know if a product is fully available or not?
The colored bars indicate availability. A lighter color means more products are available, a slightly darker color means partial availability, and the darkest color means no products are available.
Can I view availability for just one location?
Yes. Select a specific location at the top of the Inventory Calendar, or leave it set to All Locations if you want to see availability across every location.
How do I find out which order a specific unit is currently on rent for?
Go into the specific product and unit on the calendar. If it is on rent, you can click the order number shown to go directly to that order.
What is the difference between the day, week, and month views?
Each view changes how much time you see at once on the calendar. You can toggle back and forth within any view to look at different days, weeks, or months.
