Dispatch Delivery/Pickup Statuses
Any product scheduled for delivery, pickup, or both now has a dispatch status attached to it (in transit, completed) that can be updated from the order, the dispatch screen, or the dashboard.
A new "Complete Delivery" button appears at the top of an order when delivery/pickup is selected, letting each product's delivery or pickup be marked in transit or completed.
The dispatch screen cards also show these buttons, so drivers or field staff can mark delivery or pickup as completed directly, which admins can then act on.
A new order status requirements setting controls this. There are five sections covering requirements for creating the order, approving the order, renting the order (on rent), inventory return, and offer, and each can require that delivery or pickup be at least in transit or fully completed before the order can move to that status.
Example: if approval requires delivery to be at least in transit, the order cannot be approved until the delivery status is updated. The same logic applies to on rent requiring delivery completed, and so on for each configured requirement.
If an order is updated to change or remove delivery/pickup, the requirements and buttons update automatically so they don't show for statuses that are no longer valid.
This groundwork is expected to expand in the future to support inspections, for example requiring a checkout inspection before on rent, or a check in inspection before inventory return.
Updated Revenue Report
The revenue report now supports a custom date range instead of only a fixed weekly view, including the ability to view a full year broken down by month or week.
Four new fields update based on the selected date range: revenue (excluding tax), tax paid, taxable revenue, and non taxable revenue, in addition to the existing year to date revenue figure.
Cash basis and accrual basis are both selectable, along with location filtering. If no location is selected, the report defaults to showing all locations.
Granularity can be set to daily, weekly, or monthly for the selected date range.
Clicking into the tax figures takes you directly to the tax report and underlying GL account report, where you can see the jurisdictions and specific orders a given tax amount was charged on.
Ability to Lock Invoices After Sending
A new setting allows payable invoices to automatically lock once they are emailed to the customer, whether sent manually or automatically through the system (inventory return, cycle billing, and so on).
Draft invoices that are emailed do not lock, only invoices sent while in payable status.
Once locked, a lock icon appears on the invoice and it can no longer be edited.
If changes are needed after locking (for example reducing the amount or date), saving those changes creates a second invoice reflecting the difference (for example a negative invoice for a discount) rather than editing the original.
There is currently no way to unlock an invoice once it is locked. This is intentional based on current design, but the team is open to feedback if this ends up being too restrictive.
Bug Fixes & Improvements
Improvement: Inspection updates. Several bugs around inspections not completing properly and photos not uploading have been fixed.
Improvement: Customizable cycle billing email time. Cycle bill emails previously always sent automatically around 12 to 1 a.m. A new setting lets you choose the time of day cycle bill emails go out.
Improvement: Hide sold units option. A new checkbox lets you show or hide sold units on the products units report and on the units page for an individual product.
Improvement: Store hours enforcement for admin order creation. A new "Enable Store Hours" setting blocks admins from creating orders outside your configured store hours. Previously orders could be created for any time of day regardless of store hours.
Improvement: Print button added for contracts and invoices. A print button now opens the print screen directly, with the same options available as the download function, including signed contract, sign in person, and unsigned contract versions, as well as invoice printing.
Common Questions
Can I see reporting broken down by individual machine or unit over a specific timeframe?
Yes, to an extent. On the products report, you can select a time range and then click into an individual unit to see physical utilization, dollar utilization, combined revenue, and ROI for that specific unit and timeframe. This can also be exported.
Will the revenue report be filterable by location?
Yes. Location filtering is available at the top of the revenue report. If no location is selected, the report shows all locations by default.
Can I tag or group specific products in a custom way, separate from categories, for reporting purposes (for example, if a specific person owns certain units)?
Not currently, this has been noted as a potential future feature request. In the meantime, a partial workaround is to assign individual products to their own GL accounts, then view revenue and other information for that product by navigating to its GL account report.
Can I unlock an invoice after it has been sent and locked?
No, there is currently no way to unlock an invoice once it has locked after being sent to the customer. This is by design for now, since the customer may already be able to pay it. If changes are needed, saving them will generate a second invoice to reflect the difference.
Will locking invoices affect how I make corrections?
Yes. Once an invoice is locked, any changes you save (such as reducing the amount or date) will create a new second invoice showing the difference rather than editing the original invoice.
