Toolbox Talk Episode 5: Demo Day

New Features:

  • Dashboard 2.0 (Releasing Soon)

    • Redesigned dashboard giving customers the ability to see all pertinent information about their daily and weekly orders at a glance.

    • Orders are shown as cards, filterable by location, date range, and whether the order is going out (rental start date) or coming in (rental end date).

    • Each card displays customer name, order number, location, products and assigned units (unassigned units are highlighted), rental start and end dates, customer phone number, and an expandable "more details" section showing payment status, invoice total, payment method, and outstanding balance.

    • Icons flag important statuses at a glance, including a red money icon for unpaid invoices and an orange overdue box for orders not yet un-rented or off-rented on schedule.

    • Delivery and pickup orders show additional details including delivery address and mileage (if using Google API calculation), with driver assignment planned for a future release.

    • Currently in beta; interested customers can reach out to request access.

  • Depreciation Schedule for Units

    • New setting, Enable Product Depreciation, is off by default and can be turned on in General Settings.

    • A global monthly depreciation percentage can be set (for example, 2% per month, calculated as a linear rate).

    • Depreciation percentage can also be overridden at the individual product level if a specific unit depreciates differently than the global rate.

    • Depreciation is calculated from each unit's original purchase price (entered when the unit is created).

    • The product report will display a new Depreciated Value column, calculated from the unit's creation date through the report's end date or sold date.

  • Boom and Bucket Integration

    • Requires a valid make, model, and year on the product unit (make and model lists pull automatically from Boom and Bucket).

    • Market valuation is automatically recalculated weekly using Boom and Bucket's API, based on make, model, year, and hour reading. This is an estimate, not a guaranteed value.

    • Admins can list a unit for sale directly on Boom and Bucket from the product unit screen. Operating hours pre-fill from the unit's current hours; mileage is only required for on-highway units.

    • Seller info (name, email, phone) and location address can be pre-configured as defaults under General Settings once the integration is enabled, and can be adjusted per listing.

  • Custom Payment Methods

    • Found under the Accounting tab in Payment Method Configuration.

    • Default payment methods cannot be deleted but can be disabled (for example, if your business doesn't accept cash).

    • New custom methods can be created with a name and optional description, and will appear as selectable payment options wherever payments are taken, including a memo line.

    • Custom payment methods are reflected in all relevant reports, including Daily Payment Totals and the Payments report.

Bug Fixes & Improvements:

  • Improvement: Autopay with ACH enabled. Previously limited to credit cards, automatic payments can now be set up using ACH as well. This only applies to cycle billing orders and charges the customer automatically when each invoice's billing date hits.

  • Improvement: Improvements to 3D Secure. When a payment requires additional bank confirmation, customers with a phone number on file now receive a text prompting them to log in and confirm. Admins are also notified that the order has a payment requiring action, so approval can be held until it clears.

  • Improvement: Product Report export splits into two sheets (Products and Units). Previously the export combined product and unit data in a way that was confusing; it's now split into separate sheets for clarity.

Common Questions:

Do I need to do anything to get Dashboard 2.0?
No action needed yet. It's currently in beta and being rolled out to a limited group of customers for feedback before a general release. Reach out if you'd like to be considered for early access.

How is the depreciated value calculated?
It's based on the purchase price entered when the unit was created, using either the global monthly depreciation percentage or a unit-specific override, calculated linearly from the unit's creation date through the product report's end date (or sold date, if applicable).

Do I need to manually enter a market value for Boom and Bucket?
No. As long as the unit has a valid make, model, and year, market value is calculated and updated automatically once a week using Boom and Bucket's data.

Can I remove a payment method we don't accept, like cash?
Yes. Default payment methods can be disabled (not deleted) from Payment Method Configuration under the Accounting tab, so they no longer appear as selectable options.

Does autopay with ACH work the same as autopay with credit cards?
Yes, with one difference: ACH autopay is only available for cycle billing orders and charges the customer automatically on each invoice's due date, so this should be communicated with and agreed to by the customer in advance.
