Email Customizations 2.0
The templates screen has been completely redesigned and renamed from Email Templates to Email Customizations.
Emails are now organized under a toggle between Customer emails and Admin emails, making it clear which recipient group each email is sent to.
Each email now includes a brief description of when it sends, plus a hover tooltip explaining what content it contains.
Emails can still be turned on or off via a toggle (with a confirmation prompt before disabling), and individual templates can be edited (subject, body, and placeholder variables like payment method).
A Restore Default option is available to revert any email template back to its original content if needed.
Event History Improvements
The event history section (previously showing only order status transitions like created, on-rent, etc.) now also logs updates made to the order contract itself, color-coded in blue.
Logged updates include changes such as added products, quantity changes, rental time changes, and fee updates, along with which admin made the change.
Unit assignment and unassignment are also now tracked here, showing when a unit is added or removed from an order.
Payment capture events are planned to be added to this history in a future update.
Auto Fuel Charging on Off Rent/Inventory Return
Admins can create fuel-type products (for example, Diesel at $10/gallon) and link them to specific equipment under a new Fuel Charging Configuration section on the product.
Multiple fuel types can be created and assigned to different products as needed, and configuration can support multiple units within the same order.
Once configured, a Fuel Gallons field appears during Inventory Return (or Off Rent), allowing the admin to enter the amount of fuel needed to refill the unit.
The fuel charge is automatically added as a line item to the order and invoice once the unit is inventory returned; payment can be collected immediately or later.
Customers with many products can contact support for help configuring fuel charging in bulk.
Bug Fixes & Improvements
Improvement: Batch statements sent to all customers. A new setting, Unpaid Email Payment Notification, allows a recurring statement email to be sent automatically to all customers with an outstanding balance. The send date only needs to be set once (for example, the 30th of the month at 5 PM) and will continue sending monthly on that schedule. Statements include a PDF and a payment link to the e-commerce site. A manual "send now" option is being considered for a future release.
Improvement: Ability to manually capture a security deposit. For orders paid by credit card that are approved or on rent (but not yet inventory returned or still in requested status), a Place Security Deposit button now appears if no deposit has been captured yet. This allows the deposit to be captured manually at any point, based on the amount specified in the contract.
Improvement: Increased clarity around processing and pending payments. Since ACH payments can take several business days to fully process, a warning now appears when attempting to charge an invoice that already has a processing or pending payment, allowing the admin to confirm before proceeding or wait for the existing payment to resolve.
Improvement: Automatic formatting and validation for phone numbers. Phone number fields on both the admin and e-commerce sites now automatically capture country code and validate that the number is 10 digits in the correct format before saving. Existing phone numbers in the system are being migrated to this format as well.
Improvement: Order numbers added to quotes. Quotes now receive an order number immediately upon creation (following the same sequential numbering as orders), rather than waiting until the quote is approved, making it easier to reference a specific quote when a customer calls in.
Improvement: Default sales rep can be set per customer. A default sales rep can now be assigned directly on a customer's account, so that rep is automatically populated whenever a new order is created for that customer. The assigned rep can still be changed manually per order if needed.
Common Questions
What is the "review" email, and how do I turn it on?
This isn't a new email, it controls order review requests sent to customers. To enable it, go to General Settings, Options, and search for "order review," then set Send Order Review Emails to Yes. Customer reviews and response status can be viewed under the customer's account.
Can I send a batch statement to customers manually, or only on a schedule?
Currently, batch statements only send automatically based on the recurring schedule you set (for example, monthly on a specific day and time). A manual "send now" button is being considered for a future release.
Will my existing customer phone numbers be updated to the new format automatically?
Yes, a migration is being run to update existing phone numbers in the system to the new validated format.
Does the fuel charge get added to the invoice automatically, or do I need to do that manually?
It's automatic. Once the fuel gallons are entered during inventory return, the charge is added as a line item to the order and invoice without any additional manual entry.
If I assign a default sales rep to a customer, can it still be changed on individual orders?
Yes. The default sales rep will auto-populate on new orders for that customer, but it can be changed manually at the time of order creation if needed.
