New Features
Inspection Checklists
A new setting under General Settings enables Inspection Workflows, allowing admins to build fully custom checklists for Check-Out (before a unit goes on rent) and Check-In (after it's returned, before inventory return).
Each workflow can include a customizable checklist section (with required or optional items), a machine hours and fuel reading section, and a media upload section with as many custom photo categories as needed (e.g., front-right, front-left, back-right, back-left).
Workflows can be assigned at either the individual product level or the category level, under Product Tracking settings.
Once assigned, a new Check-Out/Check-In section appears on the order page. Inspections can be started, paused, and resumed at any point, with a progress indicator showing completion status.
Machine hours and photos entered during inspection automatically populate the corresponding fields when the unit is put on rent or inventory returned, reducing duplicate manual entry.
This feature is currently an MVP release; inspections are not mandatory to complete an order, and Quipli is looking for beta customers to help shape future improvements, including eventual integration with Service & Repair (e.g., automatically creating a work order from a failed check).
Creating/Editing Parts and Services (New UI)
A new Add Part button replaces the previous spreadsheet-style upload process for adding or editing parts and services.
Required fields are part name and a unique part number (used for inventory tracking); no two parts can share the same part number.
The part/service detail screen autosaves every change in real time, no manual save button required.
Stock and pricing can be managed per location (or set as an all-location price), along with purchase price.
A Tax & Accounting section allows mapping the part to a tax category, a Quipli GL account, and a QuickBooks income account. Services use the same interface, minus the stock/inventory fields, since services don't carry stock.
Parts can also be searched directly by part number.
Custom Rental Products
A new custom rental product option (alongside the existing custom sale product) lets admins create a one-time rental item without adding it to permanent inventory, useful for re-rentals or one-off equipment.
Only a name is required; optional fields include description (often used for a serial/unit number) and an internal-only Equipment Owner field (not visible to the customer), useful for tracking where the item was sourced from.
Custom pricing can be set using hour, day, week, and/or month rate presets, only one is required, but multiple can be entered.
Once added to an order, the custom rental product functions identically to a standard rental item for the rest of the order's lifecycle, including rate and date changes.
Bug Fixes & Improvements
Improvement: Ability to change the dates for all products in an order at the same time. Available via the ellipses menu on an order (Adjust All Rental Dates), this pre-populates with the earliest and latest dates across the order's products and lets you update all of them at once, automatically recalculating pricing and invoices.
Improvement: All list views are now scrollable with fixed headers. Previously, scrolling through a long list (e.g., 100 rows) would scroll the column headers out of view. Now the table scrolls independently, keeping headers visible. This applies across reports, accounting views, and other list-based screens.
Improvement: Work order fields have been expanded with additional customizable options.
Improvement: New setting to display rental rates on the invoice. Previously, rental rates only appeared on the downloadable contract. A new setting (search "display rental rates on invoice" in General Settings, Options) allows these rates to also display directly on the invoice, useful for showing customers rates if they want to extend their rental.
Common Questions
Is completing an inspection checklist required before putting a unit on rent?
No, not currently. Inspection checklists are available to track and document checks, but completing them isn't mandatory to proceed with on-renting or inventory returning a unit.
Can I assign different inspection checklists to different products?
Yes. Checklists can be assigned at either the individual product level or the category level under Product Tracking settings, so different equipment types can have their own relevant checklist.
Does the parts/services page still need a save button?
No. The new UI autosaves every change in real time as you update stock, pricing, or other fields.
Can two parts share the same part number?
No. Each part must have a unique part number, since it's used to track inventory.
Will a customer see the Equipment Owner field on a custom rental product?
No. This field is internal only and is never visible to the customer.
Does a custom rental product behave differently from a regular rental product after it's added to an order?
No. Once added, it functions identically to a standard rental item for the rest of the order, including rate changes, date changes, and invoicing.
