Order Page Updates
Terms & Conditions Sending Options: From the order page, if a customer hasn't yet agreed to terms, you can email them the agreement, text it to them, have them sign directly on your device, or have them scan a QR code to sign on their own device.
Terms Agreement Email: The email sent to the customer includes the order number and rental contract, with a "Click to Agree to Terms" button that takes them to a page where they can accept, generate a digital signature, and confirm. Once agreed, the order page updates to show "User has agreed to terms."
Email History Section: Located on the order page, this logs every email sent related to that order (both the customer-facing and admin-facing versions), so you can confirm whether an email was actually sent if a customer says they didn't receive it.
Resending Emails: From the Email History section, clicking the ellipses next to any email allows you to resend it to the same address on file, or to a different email address entered manually.
Invoice Email vs. Payment Notification: The Email Invoice button sends the invoice as a PDF to the email on file with no additional options, and does not include a way for the customer to pay directly. Send Payment Notification opens a pop-up allowing you to confirm or change the recipient email, and includes a link that takes the customer to a page where they can pay the invoice directly (rather than just viewing it).
Payment Notification Requirement: For the Pay Invoice button in the payment notification email to work, Customer Portal Payments must be enabled under Settings, General Settings, Options (search "Portal").
Email Customizations
Layout: Found under Settings, Email Customizations, with a toggle between Customer emails and Admin emails. Emails are grouped into sections (e.g., Customer Accounts, Order Requests and Approvals, Rental Start and End, Billing and Payments) for easier navigation.
Email Details: Each email listing shows its name and a brief description, with a tooltip explaining exactly when it's triggered (e.g., "sent when a customer creates an account through the e-commerce website").
Editing: Clicking into an email lets you edit the subject line and body. Bracketed placeholder fields (like customer name or website name) can be inserted to auto-populate customer-specific information; a key at the bottom of the page explains each available placeholder.
Turning Emails On/Off: Toggling an email on or off triggers a confirmation warning, since this disables or enables the email for all customers, not on a per-customer basis (a per-customer option isn't currently available).
Restore Default: If a template is edited and you want to revert it, Restore Default will reset it back to the original version.
Admin Email Behavior: Changes made on the Admin Emails tab affect all admin users globally. If an email is turned off on this main page, it will not send to any admin, even if that admin's individual notification settings in Admin Users have it turned on. The main Email Customizations toggle must be enabled first before adjusting settings on a per-admin basis.
Google Review Emails
Found under Settings, General Settings, Options (search "review"). The primary review email setting must be set to Yes to enable sending.
Requires a Google My Business account so Quipli can retrieve your Place ID and link reviews to your business page (Quipli can assist with setup if needed).
A "Send Review Email After X Hours" setting controls the delay after inventory return before the review request email is sent (for example, 0.5 hours = 30 minutes after return).
The review email asks the customer for a quick thumbs up/down, then directs them to a page to leave a full review.
Customer Reviews
Found under Customers, Customer Reviews. This page lists every review email sent, with status (Pending or Completed), invoice number, customer name and email, feedback, positive/negative classification, and created/reviewed dates.
Reviews can be filtered by status, and overall review statistics (total reviews, positive vs. negative breakdown) are displayed at the bottom of the page.
Unpaid Email Payment Notification (Batch Statements)
Found under Settings, General Settings, Options (search "unpaid email notification"). This setting sends a statement email automatically to all customers who have an outstanding balance, rather than requiring you to send statements to each customer individually from their Collectibles page.
You set a single recurring day and time (for example, the 14th of every month at 4 PM), and it will continue sending automatically going forward.
Requires Statement Payments to be turned on, so customers can apply one payment across multiple invoices, and Customer Portal Payments to be turned on, so customers can click into the email and actually make a payment rather than just viewing the balance due.
Common Questions
How can I confirm whether a specific email was actually sent to a customer?
Check the Email History section on that customer's order page. It logs every email sent related to the order, including both the customer and admin versions, and lets you resend to the same or a different email address if needed.
What's the difference between "Email Invoice" and "Send Payment Notification"?
Email Invoice sends a PDF of the invoice with no payment option. Send Payment Notification includes a link that takes the customer directly to a page where they can pay the invoice, and requires Customer Portal Payments to be enabled to work correctly.
Can I turn an email on or off for just one customer?
Not currently. Toggling an email on or off in Email Customizations applies to all customers; there is no per-customer option at this time.
If I turn off an email in Email Customizations, will it still send to an admin who has it turned on in their individual settings?
No. The main Email Customizations toggle overrides individual admin settings. The email must be enabled at the main level before per-admin settings in Admin Users will take effect.
What do I need to set up before Google Review emails will work?
You need a Google My Business account so Quipli can retrieve your business's Place ID. The main review email setting also needs to be turned on under General Settings, Options.
What do I need to have turned on for batch unpaid statement emails to work?
Both Statement Payments and Customer Portal Payments need to be enabled. Statement Payments allows a single payment to apply across multiple invoices, and Customer Portal Payments allows customers to actually pay from the email rather than just seeing their balance.
