How to Create and Send a Quote to a Customer
This article walks through how to create a quote from the admin console and send it to a customer, who can then review, confirm, and pay to convert it into an official order.
Starting a New Quote
From the dashboard, go to Orders, then click Create Quote.
Creating a quote follows the same process as creating any other order.
Select the location for the quote. If you are a multi-location store, this will default. If you are a single location store, it will default to your one location.
Adding Customer Information
Select the customer. If they already exist, search for them and select them.
To add a new customer, click Add New Customer and fill out their information.
Add a billing address, and choose whether it should also be used as the delivery address, or add a separate delivery address if needed.
Add any renter information, such as driver's license images, or enter it manually. Do the same for proof of insurance and any other required documents.
Add any customer notes as needed.
Quote Expiration and Cycle Billing
Set an expiration date for the quote.
Decide if this should be a cycle billing order, meaning a recurring invoiced order. If so, select that option, click the edit icon, and determine the terms of the billing cycle.
If it should be a regular order, leave cycle billing unselected.
Adding Products
Add the product and select the rental dates and times.
To use custom pricing, click on the price field and update it.
Select the delivery method, either delivery or pickup in store, then click Add Order.
Reviewing and Creating the Quote
Review the quote, adding any further products needed and confirming the quantity is correct.
Apply any appropriate discounts and edit any other fees or taxes. Anything shown in blue is editable.
Once you are happy with the quote, click Create Quote.
After the Quote Is Created
The quote will show up with its invoice details, and you can also view it from the Orders screen.
You have the option to approve the quote yourself from the admin side, but the customer can also approve it themselves.
As soon as the quote is created, the customer receives an email with the order details, allowing them to Confirm and Pay.
Customer Confirmation Process
When the customer clicks Confirm and Pay, it opens the same checkout screen used on your e-commerce site.
The customer can fill out any additional information, adjust details if needed, enter their credit card information, upload license and proof of insurance documents, accept the terms, and generate their digital signature.
Once the customer places the order request, it generates an order number and officially becomes an order.
From there, the order proceeds like any other order and can be approved, on rented, and off rented as normal.
Common Questions
What is the difference between creating a quote and creating a regular order?
Creating a quote follows the same process as creating a regular order, but instead of finalizing immediately, it sends the customer an email so they can review, confirm, and pay before it officially becomes an order.
Can the customer approve the quote themselves, or do I need to?
Either option works. You can approve the quote yourself from the admin side, but the customer can also approve it by confirming and paying through the email they receive.
Can I set an expiration date on a quote?
Yes. You can set an expiration date for the quote as part of the quote creation process.
What happens after the customer confirms and pays on a quote?
It opens the checkout screen from your e-commerce site, where the customer can complete any remaining information, accept terms, and generate their digital signature. Once submitted, it generates an order number and becomes an official order.
Can a quote be set up as a recurring cycle billing order?
Yes. During quote creation, you can select the cycle billing option, click the edit icon, and determine the terms of the billing cycle.
