How to Create an Order from the Admin Console
This article walks through creating an order manually from the admin console, including adding customer information, products, and payment details.
Starting a New Order
Go to the Orders tab on the left hand side and click Create Order.
Select the location for this order if you are a multi-location business. If you only have one location, this will default automatically.
Adding Customer Information
Use the Search Customer area to search for an existing customer already in the system and select them. This will automatically fill out their information.
To add a new customer, click the same search bar and select Add New Customer. Fill out their information, company name and phone number are optional. Add their email address, then click Add.
Fill out the customer's billing address and delivery address if applicable by clicking Add Address, then complete the phone number, address, state, and other required fields.
Cycle Billing
If this order should be a cycle billing order, check the Cycle Billing box. Click the pencil icon to fill out the terms.
If you do not want cycle billing, leave this box unchecked.
Renter Information
Scroll down under the customer area to add renter information, such as driver's license images, or enter it manually.
Do the same for proof of insurance, either uploading by clicking and dragging or entering manually.
Add any customer notes as needed.
Adding Products to the Order
Click into the Search Product area and first select whether the product is For Rent or For Sale.
Search for the product, or scroll through the product menu to find it.
Select the rental dates and times. The system will show the default pricing set up for that product.
If you want to use custom pricing, click on the individual rates and select a new rate to adjust it.
Select the delivery method, either Delivery or Pickup In Store, then click Add to Order.
Once a product is added, you can assign a unit if applicable, update the quantity if more than one is needed, or delete the product if it was added in error.
Repeat this process until all products needed for the order have been added.
Order Notes and Summary
Add any relevant order notes.
Review the order summary, which shows the total cart, total, taxes, damage waivers, security deposits, and other charges.
Payment
Go to the Payment section and select the payment method for this order: credit card, bill my account, cash, check, or skip for now.
If using credit card and the customer does not already have a card on file, click Add New Card, fill out the card information, and save.
If the customer already has a card on file, select it to use as the default payment method.
Once everything looks correct, click Create Order in the top right hand corner.
After the Order Is Created
Once created, the order proceeds like any other order. You can approve, on rent, and off rent it as needed.
You can always edit any information on the order afterward, including customer info, renter information, proof of insurance, and the order itself.
You can also view all invoice details and email history from within the order.
Common Questions
Can I create an order for a customer who is not yet in the system?
Yes. Click the search bar in the customer area and select Add New Customer, then fill out their information, company name and phone number are optional, and click Add.
What is cycle billing and how do I set it up on a new order?
Cycle billing is enabled by checking the Cycle Billing box when creating the order. Click the pencil icon to fill out the terms of the billing cycle. If you do not want cycle billing, leave the box unchecked.
Can I use custom pricing instead of the default rate for a product?
Yes. When adding a product, click on the individual rates and select a new rate to adjust the pricing for that product.
