The Accounts Receivable report shows how much each customer owes you as of a specific date, broken down by how overdue that balance is — useful for prioritizing collections and spotting who's furthest behind.
Step 1 — Filter Your Data
Across the top of the report are three filters. You don't have to use all of them — leave Location or Customer blank and it simply won't narrow anything down.
Filter | What it does |
Report Date | The single date you're viewing receivables as of (see below — this works differently from a date range). |
Location | Narrows the report to one or more specific yards or branches. |
Customer | Narrows the report to one or more specific customers. |
Working with the Report Date Filter
Unlike a date range, Report Date is a single point in time — the report recalculates every balance and aging bucket as if you were looking at your books on that exact day. This lets you answer "what did we have outstanding as of [date]," not just "what's outstanding right now."
Step 2 — Read the Aging Tiles
The tiles across the top break your total receivables into how overdue they are:
Total Amount Owed — everything outstanding across all customers, as of the Report Date.
Current — balances not yet past due.
1-30 — balances 1 to 30 days past due.
31-60 — balances 31 to 60 days past due.
61-90 — balances 61 to 90 days past due.
90+ — balances more than 90 days past due, and the most urgent to follow up on.
Step 3 — Read the Receivables By Customer Table
Below the tiles, Receivables By Customer breaks the same buckets out by customer, one row each:
Column | What it tells you |
Customer | The customer's name. |
Current | That customer's balance not yet past due. |
1-30 | That customer's balance 1 to 30 days past due. |
31-60 | That customer's balance 31 to 60 days past due. |
61-90 | That customer's balance 61 to 90 days past due. |
90+ | That customer's balance more than 90 days past due. |
Total Unpaid Amount | That customer's total outstanding balance across every bucket. |
Downloading Report Data
Click the ⋯ in the top-right corner of Receivables By Customer to download the results as a file. There's also an export icon at the far right of the filter bar for exporting the report as a whole.
