The Payments report gives you a full picture of the money customers have paid you — how much came in, how it was paid, whether it's been applied to an invoice yet, and where to find any specific transaction.
Step 1 — Filter Your Data
Across the top of the report are six filters. You don't have to use all of them — leave any filter blank and it simply won't narrow anything down.
Filter | What it does |
Payment Date | Filters to payments made within a date range you choose. |
Location | Narrows the report to one or more specific yards or branches. |
Customers | Narrows the report to one or more specific customers. |
On Account Status | Filters by the account billing status of the payment — for example, whether it relates to a customer's on-account/credit terms. |
Applied Payments | Filters by whether the payment has been applied to an invoice yet. |
Payment Status | Filters by the payment's status, such as succeeded, pending, or failed. |
Working with the Payment Date Filter
Payment Date is a date filter. Clicking it opens the same style of menu you'll see on other Quipli reports: a quick preset (Today, Yesterday, Previous 7 Days, and similar), a Fixed Date Range for an exact start and end date, or a Relative Date Range that automatically stays current as time passes.
Step 2 — Read the Summary Tiles
The tiles across the top break your total payments down several ways:
Grand Total — every payment in the filtered period.
Total # of Payments — how many individual payments make up that total.
Total - Credit/Debit — payments made by credit or debit card.
Total - Cash/Check/ACH — payments made by cash, check, or bank transfer.
Total - Unapplied — money a customer has paid you that hasn't been tied to an invoice yet.
Total - Failed/Pending — payments that haven't successfully cleared.
Total - Refunds — money refunded back to customers.
Total - On Account — payments billed to a customer's on-account/credit terms.
Step 3 — Read the Charts
Payments by location shows payment volume over time, broken out by location, so you can compare how each branch is trending.
Top 10 Customer ranks your ten largest customers by total payments in the filtered period.
Step 4 — Use the Payments Table to Find a Specific Transaction
Below the charts, the Payments table lists every individual payment, with its own filters — Invoice Number, Transaction ID, and Payment Method — for jumping straight to a specific one. You can look up or sort by:
Column | What it tells you |
Customer | Who made the payment. |
Invoice Number | The invoice the payment is tied to. |
Location Name | Which yard or branch the payment is associated with. |
Paid At | When the payment was made. |
Applied At | When the payment was applied to an invoice. |
Payment Method | How the customer paid — Stripe, check, cash, and so on. |
Card Brand | The card network used, if paid by card. |
Last 4 | The last four digits of the card used, if paid by card. |
Check # | The check number, if paid by check. |
Status | Whether the payment succeeded, is pending, or failed. |
Amount | The dollar amount of the payment. |
On Account Status | Whether the payment relates to a customer's on-account/credit terms. |
Downloading Report Data
Every module on the report — tiles, charts, and the Payments table alike — has a ⋯ menu in its top-right corner. Click it and choose the download option to export that module's results on their own, without needing to download the whole report.
