This week's toolbox talk covered several new platform updates:
GL Account Assignment for Line Items
You can now assign a general ledger account to individual line items when adding them to an order or invoice. A new "General Ledger Account" field appears when creating a line item, pre-populated with your default upcharge or refund account. You can change it per line item, or edit it later using the pencil icon. If you don't use this feature, nothing changes for you.
On-Demand Invoice Emails
A new "Email Invoice" option lets you send an invoice at any point during the order process, rather than waiting for the standard cycle billing date or end-of-order trigger. The email text is customizable in your invoice email template, and invoices can include a payment link if requested. Invoices sent this way go to the account representative on the order as well as any users assigned an accounting representative role.
Inventory Return Email Timing
A new general settings option lets you schedule inventory return invoice emails to go out at a specific time each day, instead of immediately upon return. This is useful if you want to review completed orders before invoices go out. The default behavior (sending immediately) is unchanged unless you opt in.
Customizable Invoice and Account Numbers
Order number format is now customizable in general settings, using bracketed variables for year, date, and digit count (up to 8 digits). Account numbers can similarly be customized (6-12 digits), and a new "Generate Account" button automatically creates the next sequential account number on both the admin and e-commerce sites.
Dispatch Page Scheduled Time
The dispatch page now supports a scheduled time field, and automatically sorts the list chronologically by that time to help drivers prioritize their route.
Additional Discount Now Taxable-Aware
The order-level additional discount now applies before tax calculation, so discounting a full order properly adjusts the tax amount instead of leaving it unchanged.
Combined Products and Service/Repair Reports
The legacy Service and Repair report has been merged into the Products report, which now includes the relevant service/repair columns.
